Administrator / Membership Coordinator
One Voice Children's Choir

Job Description

One Voice Children's Choir is seeking an amazing candidate to handle administrative and coordination duties.

Please note this is a work-from-hom e position, with occasional in-person team meetings. The candidate will need to devote 15-30 hours per week of focused work. Pay is $15 per hour.

-Assist Executive Director and Board in carrying out daily operations of the choir.
-Coordinate with Artistic Director to schedule auditions for new students each semester.
-Communicate with members regarding schedules, meetings, etc.
-Receive Event Requests, track responses from Board, and reply to event organizers. If an event is booked, gather all details for performance from event organizers.
-Set up Event Worksheet for all accepted events in a timely manner.
-Ensure all appropriate Staff have access to worksheets and are aware of new events, i.e., website, wardrobe, chaperone committee, music department, etc.
-Attend all Board and Staff meetings.
-Serve as Membership Coordinator.
-Create and distribute monthly Newsletter to members.
-Serve as Sign-Up Manager
-Prepare quarterly report of performance attendance, volunteer hours, and any other reports requested by Artistic Director and Board.
1Assist in other areas as needed.

-Update yearly Member Registration forms and Welcome Packet.
-Distribute and collect Registration forms at the beginning of each choir year and to new members as needed.
-Send Welcome letter with registration materials to new members.
- Maintain Master Membership List to be current at all times.
-Request photo of each member and post to Membership page of the Corporation’s website.
-Give new member information to Website Manager (or other assigned person) to set up a member account on the website and to ensure that current email addresses are included on group emails and that all current members are receiving all appropriate emails and have access to the member website.
- Work with Website Manager to ensure all members and parents have been added to group text system and have access to the members-only website.
-Safely and securely store any documents related to Membership. Securely destroy any private information when it is no longer needed.


-Excellent communication skills, both written and oral
-Ability to effectively work on one’s own (this is a work-from-hom e position) and a good workspace
-Great organizational skills
-Mastery of Google Suite
-Creativity-- be able to figure out new ways to organize, track, and communicate
-Close attention to detail

-Bachelor's Degree or higher
-Familiarity with our organization’s mission and work
-A love of music
-Some experience in or knowledge of the music industry
-Past arts administration experience
-General computer-savviness and/or basic web development skills
